Preceptor Responsibilities

As a preceptor, you are a valued member of the School of Dentistry faculty who provides instruction and serves as a role model and mentor for interns (students). Interns are enrolled in the Community-Based Collaborative Care and Education course (DENT 857), which tracks and evaluates student performance while in community clinics. Preceptors facilitate interns’ completion of course requirements and provide evaluations that are used as the basis for each intern’s grade in this course. Preceptor responsibilities include:

  • Supervising and teaching interns as they provide patient care

  • Approving intern procedure reports

  • Evaluating restorative test cases

  • Evaluating intern overall performance

Contact Howard Hamerink at hahdds@umich.edu with any questions regarding student evaluation or the course.

Procedure Reports

Procedure reports are completed by interns for each patient encounter. These reports provide important data, which allow us to track intern experiences such as the number and type of patient encounters.

  • Approve procedure reports by logging on to eCLAS and clicking the Procedure Reports icon.

  • Click the question mark icon for more detailed instructions.

Test Cases

Each intern is required to complete at least one test case while on rotation. Acceptable test cases include 2 or 3 surface amalgam or composite restorations (with proximal and occlusal contacts) or caries risk assessment (patients with 4 or more cavitated lesions).

Evaluation of Overall Clinical Competency of Interns

This evaluation makes up a large proportion of each intern’s grade in DENT857. Please complete this form for any intern with whom you’ve worked more than once.

  • Visit the explanation of the criteria and how this form is used.

  • Evaluate overall competency by logging on to eCLAS and clicking My eCLAS Evaluations icon.

  • In the Evaluation drop down menu at the upper left of the screen, select Students > CBCE Student Performance Evaluation.

  • Choose the student name and your name from the drop down "Schedule" menu to access the evaluation.

  • Click the question mark icon for more detailed instructions.

Due Dates

The course director enters intern grades for over 40 interns at the end of each rotation cycle (every 4 weeks). Timely completion of approvals and evaluations helps us keep up with data entry (and reduces intern anxiety when they see grades are missing).

  • Procedure reports can pile up, so we recommend approving them each day.

  • Please complete test case evaluations within 24 hours of the procedure whenever possible, and certainly before the end of the intern’s rotation.

  • Complete the Evaluation of Overall Clinical Competency form within one week of the end of the intern’s rotation.

Incident Report and Form Process

An incident is the result of treatment rendered to a patient where the outcome deviates from normal expectations. The results may or may not involve physical injury. This also includes exposure incidents.

Incident Reports must be completed and returned to the School of Dentistry within 24 hours of the incident.
